Administrative Assistant
Role:
The Administrative Assistant at The Little School helps to faciliate the functioning of a successful administrative team. This person will be supporting the Executive Director (ED), Assistant Director (AD), and the Business Operations Manager (BOM) with the day-to-day operations of the school.
Specific Responsibilities:
Communication includes
Communication to families (such as exposure notices and questionnaires)
Communication with families (such as changes in enrollment)
Non-teaching communication to staff (such as staff handbooks and reminder of deadlines)
Event communication with staff and families (such as reminders, RSVP’s, and childcare)
Creating and maintaining effective communication vehicles
Support administration of major processes, including, but not limited to
Admissions: orientations, applications, playdates, marketing materials, database management (in partnership with the Admissions Team, and supporting the ED)
Enrollment contracts for prospective families, and re-enrollment contracts for current families
Enrollment in extended care programs (track and communicate changes for AD and BOM)
Enrollment in summer program
Programming (sign-in sheets, rosters, conference sign-up, etc.)
Kindergarten process (supporting the ED and staff with deadline reminders and submission of evaluations)
Development (in partnership with the BOM and Development Chair)
Discounted Tuition (in partnership with the ED and Finance Committee)
Calendar support
Create academic calendar (in partnership with staff)
Update calendar when shared spaces are reserved
Support logistic of events
Support various committees’ events (such as the Diversity Committee and the Staff Appreciation Committee - comprised of staff and parents)
Support Board of Trustee’s monthly meetings
Support Little School events that do not have a specified point person
Maintenance of shared spaces as primary communication/administrative areas * Maintain and organize all electronic and/or hard copy of documents and records
Support for AD’s maintenance of staff and children files
Organize all long-term storage and archived files * Support for ED, AD, and BOM, and their projects as requested
Required Qualifications:
At least 3 years of experience in an administrative assistant role
Exercises professional judgement in problem solving, using discretion, and maintaining confidentiality
Excellent customer service skills
Excellent written and verbal communication skills
Proficient in Google Suite, Excel and Word
Organized and able to work independently, prioritize efficiently, and effectively manage interruptions and time
Strong tech skills and comfort with learning new technologies
Preferred Skills:
Experience in a school setting, including in a classroom
Experience with FileMaker and inRESONANCE

Physical Requirements:
Ability to lift from 25 lbs. (OFTEN) to 50 lbs. (OCCASIONALLY)
Work Schedule:
M-F, Full time, 12 months of the year including paid vacations as specified in personnel policies.
